1. Our Commitment
Perfect That Polish is committed to providing a safe, welcoming and supportive environment for every child attending our workshops and pamper parties.
We believe every child has the right to be treated with dignity, respect and care, and to be protected from abuse, neglect, exploitation and avoidable harm.
The welfare of children is our priority.
2. Scope
This policy applies to all staff, instructors, assistants, volunteers and other individuals involved in delivering children’s activities on behalf of Perfect That Polish.
It covers children’s nail art workshops, pamper parties and any other activities involving participants under 18.
3. Safeguarding Responsibilities
The Designated Safeguarding Lead is responsible for coordinating safeguarding arrangements, responding to concerns and seeking advice or making referrals where necessary.
All adults involved in activities must understand how to recognise and report safeguarding concerns.
No member of staff should investigate suspected abuse independently.
4. Safer Recruitment and Suitability
We will ensure that individuals working with children are suitable for their roles.
This includes identity checks, references, safeguarding induction and appropriate DBS checks where the role is eligible.
DBS checks will be obtained at the correct level in accordance with eligibility rules.
5. Supervision
Children must be supervised appropriately throughout activities.
Supervision arrangements will reflect the children’s ages, needs, the activity and the findings of our risk assessments.
Children must not be left in unsafe or unsuitable circumstances.
One-to-one situations will be managed carefully to protect children and adults.
6. Parental Consent
A parent or legal guardian must provide the required consent and emergency contact details before a child participates.
Consent information may include:

- Parent or guardian details.
- Emergency contact numbers.
- Relevant medical information.
- Allergies and sensitivities.
- Additional support requirements.
- Authorised collection arrangements.

Children will receive clear safety instructions and appropriate assistance.
Potentially hazardous equipment, chemicals or professional-only products must not be accessible to children without appropriate controls.
8. Recognising Safeguarding Concerns
Safeguarding concerns may include signs of physical abuse, emotional abuse, sexual abuse, neglect, exploitation, bullying or inappropriate adult behaviour.
Concerns may arise through observations, disclosures or information provided by others.
All concerns must be taken seriously.
9. Responding to a Disclosure
If a child discloses a concern, staff should:
- Listen calmly and take the child seriously.
- Avoid leading questions.
- Avoid promising secrecy.
- Explain that information may need to be shared to keep them safe.
- Record the child’s words as accurately as possible.
- Report the concern promptly to the safeguarding lead.
Where a child is in immediate danger, emergency services must be contacted on 999.
10. Reporting Concerns
Safeguarding concerns must be reported promptly to the Designated Safeguarding Lead.
Where necessary, concerns will be referred to the appropriate local authority children’s services, police or other relevant safeguarding authority.
Concerns about an adult working with children will be managed through the appropriate allegations procedure, including consultation with the Local Authority Designated Officer where applicable.
If the safeguarding lead is implicated or unavailable, concerns must be escalated through an alternative appropriate reporting route.
11. Photography and Online Safety
Children must not be photographed for promotional purposes without appropriate parent or guardian consent.
Images must be stored securely and used only for the agreed purposes.
Staff must not contact children through personal social media accounts or use personal communication channels inappropriately.
12. Collection and Missing Children
Children may only be released according to the agreed collection arrangements.
We will maintain procedures for late collection, unauthorised collection attempts and missing children.
If a child cannot be located, the appropriate emergency procedure must be activated immediately.

Bullying, discrimination, harassment and intimidating behaviour will not be tolerated.
Children will be treated fairly and supported according to their individual needs.
Behaviour concerns will be addressed in a proportionate, age-appropriate way.
